Sarah, Independent Trainer

Sarah is an independent trainer she helps training companies when their trainers are either sick or on holiday – almost like a supply teacher.  Her main expertise is in Sales training.
She also runs a few courses of her own too.
She contacted me during 2020 through a mutual contact, she was getting really frustrated with all the admin she needed to do and was finding she was turning up to present her training tired and frazzled.  She wanted to be able to turn up to train her delegates fresh and energized she didn’t feel that she was giving them the best of her
We set up a time to have a chat about her requirements.
A few days later I gave her a call at the time agreed to discuss how I could help her.  She told me, she needed some training manuals produced, she had the draft it just needed to be typed up, I told her I could do that for her to include proofreading, printing either in house or through a printing firm, collating and binding (if doing inhouse).  Then for an extra cost I could post them out to her or directly to her delegates
She also needed someone to liaise with her delegates.  She needed someone to take care of her course emails, course invoicing, online conferencing setup and she wanted to take advantage of the email reminders.  She had experienced non-attendance in the past and we agreed this should solve this issue.
Having considered her requirements, we agreed that seeing as she had not used me before she would take the Basic package plus the production of course materials for 10 manuals and her manuals each required 10 pages.  I produced a quote for the basic package plus the production of course materials required.  I explained if she runs courses monthly, we can set up as a monthly package or I can help with just a one-off project.
The quote was for:
The Basic Package
This was to include:
Ø  Email Management
Ø  Online Conferencing Setup
Ø  Email Reminders
Ø  Course invoicing

Plus, as an add on to the basic package the:

Production of course materials – 10 Manuals
This was to include:
Ø  Typing up the course materials
Ø  Proofreading and editing
Ø  Collation and binding
Ø  Arranging to post out
Ø  Posting them out to delegates direct (extra cost)

I found out from her whether she had a date set for the course she was running she told me that it was in four weeks’ time.  We agreed there was plenty of time.
Once she confirmed she would like to go ahead, I sent her the invoice and contract.  As soon as she paid the invoice, signed the contract and included the draft I got straight onto it.
Over the next few days, I typed up the course materials, proofread and edited.  Prior to printing, I sent them back to Sarah for approval.
She returned them later that day and had signed them off to confirm they were fine to go ahead and print.
Once approval received, I proceeded to print them off, collated and used binding combs to bind each manual, as previously agreed with Sarah.
She had wanted them posted to each delegate, so I arranged for them to go into the post.
I asked Sarah whether she had any standard responses to queries she previously had so that I would not have to disturb her when helping delegates.
Once she received her list of delegates, she forwarded these to me with the invoicing details and I arranged for the invoices to be sent out.
I set up the training date and time through Zoom and invited the delegates to the training.
The day before the training an email reminder was sent out.
On the day, Sarah had asked me to be present to help with letting people in so that she could concentrate on training rather than keeping an eye on the system, in case of any late arrivals.
After an hour she confirmed everyone was there who she had been expecting so I left the meeting, afterwards she confirmed this was the best attendance she had previously seen.
She arrived refreshed and ready to teach.  She has told me since she has been working with me, she has received raving reviews about her courses and even some return clients.
Since then, she has renewed with me a couple more times.

Getting to know her

Discovery Call

How I helped

I found out from her whether she had a date set for the course she was running she told me that it was in four weeks’ time.  We agreed there was plenty of time.

Once she confirmed she would like to go ahead, I sent her the invoice and contract.  As soon as she paid the invoice, signed the contract and included the draft I got straight onto it.

The outcome

She arrived refreshed and ready to teach.  She has told me since she has been working with me, she has received raving reviews about her courses and even some return clients.

Since then, she has renewed with me a couple more times, and I am looking forward to working with her more this year.

Before I found Emma, I used to arrive at my training feeling frazzled and stressed, she has given me the time and energy to focus on just my delegates and this has meant I have been able to achieve giving them the best course experience possible.  I have received referrals and returning clients.  I class her as one of the team.
